Privacy Policy for Varqa workspaces and the public site

This page says what we keep when you use Varqa, why we keep it, who can see it, and what you can do. It covers the public site, walkthrough requests, and the product after you sign in. It is written in plain words for offices that keep paper, mail, and files in Arabic or English.
What we keep when you create a workspace
We keep the workspace name, your name, email, a hashed password (not the password itself), and the time you agreed to the Terms and this Privacy page.
What we keep when you use the product
To run your workspace we keep:
- Files you add, and text we read from them so search and Ask can work
- Folders, tags, comments, marks, versions, and shares
- Roles, people, and what each role can do
- An activity log of views, uploads, searches, chats, and shares
- Sign-in records, so we can lock an account after too many failed tries
- Support tickets you send from inside the product (subject and message). Operators reply to tickets. They do not open company files from a ticket.
Walkthrough requests
If you book a walkthrough we keep your name, work email, company, and note, so we can reply. We do not add you to a sales sequence.
Connections
If you connect mail, SharePoint, or another tool, we keep the tokens and settings needed to fetch files you chose. You can disconnect that tool. After you disconnect, new files stop coming in. Files already in the workspace stay until you delete them.
Where files live
An admin can store files on this server, on SharePoint, or on S3. Search and Ask read text from those files so you can find a page. If you host Varqa yourself, file data stays on the machines you control, plus any AI provider your admin turns on for written answers.
Why we keep it
We keep this data to run your workspace, keep you signed in, let you find and review files, send Ask answers with a page cite, reply to a walkthrough or a ticket, and keep the service safe.
Who can see it
People in your workspace see what their role allows. A share link shows a file to the person you send it to, until you revoke it or it expires.
We do not sell your files or your contact list. We do not use your files to train a public model.
If Ask is on, some text may go to the AI provider your admin chose (or to hosted Ask) so a written answer can be made. That provider sees only what is needed for that answer.
How long we keep it
Account and file data stay while the workspace is active. Recycle, retention rules, and legal hold follow the settings in your workspace. A legal hold blocks delete and archive.
Walkthrough notes stay so we can reply and, if you ask, open a company for you. Sign-in lock records stay long enough to protect the account.
Your choices
You agree to these pages when you create a workspace. Inside the product you can export your data. An admin can export data for a person. You can change your password and sign out everywhere. You can ask your admin to disable your account.
On this device
We store a sign-in token, your language, and your light or dark choice on this device, so you stay signed in and see the page the way you left it. The public site can also be installed as an app on your phone or computer.
Children
Varqa is for office work. It is not meant for children. We do not knowingly keep accounts for children.
Changes
We may update this page. The date at the top will change. If a change is large, we will say so on this page.
